Due to continued security concerns, commercial air carriers are reducing or in some cases completely eliminating their known shipper programs. This has the ability to affect NCAA championships participants who have used this program to send equipment to NCAA championship venues in the past, primarily those with pole vaults, javelins, rifles, etc. Most participants will continue to be able to send equipment with their regular baggage (i.e. balls, equipment bags, etc.).
Should institutions encounter difficulty in using the known shipper program for their equipment needs, the NCAA suggests using a commercial shipping company, (i.e.: Federal Express, UPS or Airborne Express) to get equipment to and from the championship site. Alternatively, institutions may also consider having a member of their approved travel party drive the equipment to the site.
If one of these methods is used, the NCAA will reimburse for the cost of shipping the equipment or mileage for the driver. To claim reimbursement, simply attach the shipping receipts to your travel reimbursement forms (used to claim per diem) and write the total amount on the front of the form. Or, write in the round trip mileage and claim reimbursement at .32 cents per mile. If you are claiming reimbursement for the cost of transporting equipment, please include a note identifying the charge to assist the travel department with the reimbursement process.
