Executive Committee Recommendation for

 Future NCAA Convention Dates and Sites

 

 

The NCAA branding and communications staff, working with the governance and membership services groups, have been exploring potential dates and sites for future NCAA Conventions.

 

The goal of the Convention is to provide an Association-wide platform that supports the NCAA Strategic Plan and the business functions of the NCAA while facilitating positive cross-divisional membership interaction and providing learning opportunities, thus increasing attendance at the Convention.  It is an opportunity to re-emphasize the link between intercollegiate athletics and higher education.

 

Based upon feedback from the three divisions, the future date options were researched through the Request for Proposal (RFP) process.

 

Option No. 1:   Dates for the second weekend in January.

Option No. 2:   Dates for the Wednesday-Saturday before Martin Luther King Day.

Option No. 3:   Dates for the weekend following Martin Luther King Day.

 

After discussions with Division I, II and III staff liaisons, option No. 2 is being forwarded as the staff recommendation noting that the dates proposed (below) are a shift in the normal meeting days of the week (shift from Friday through Monday to Wednesday through Saturday).  This shift allows delegates to avoid travel or business on Martin Luther King Day.  Staff was cognizant of the need to hold the Convention as early as possible in the month to allow for maximum attendance.

 

In reviewing the responses to secure future dates and sites, it became apparent that there were some cities (most notably the West coast) that were booked through 2021.  Numerous cities also offered incentives for multi-year deals with the NCAA, which would provide lower hotel room rates and free meeting space.  In an effort to secure sites that would be desirable for the membership as well as benefit from the financial advantages presented, staff recommends securing dates and sites through 2019.  This will allow for multi-year deals with four cities/hotel properties.

 

Most of the cities represented are also cities that hold major NCAA championships allowing efficiencies through working with members of their local Convention and Visitors Bureau (CVB) and/or sports commission to help provide a similar atmosphere and service for the NCAA Convention.

 

After carefully reviewing the options, we present the following recommendations:

 

January 14-17, 2009 (Wednesday-Saturday):  Washington, D.C. (Gaylord National)

 

  • Room Rate - $155 single/double.

·         Hotel rates are for 2005.  Hotel rate may increase up to 4 percent per year.


 

January 13-16, 2010 (Wednesday-Saturday):  Atlanta, Georgia (Hyatt Regency and Marriott Marquis)

 

  • Room Rate - $159 single/double.

·         Hotel rates are for 2006.  Hotel rate may increase up to 4 percent per year.

 

January 12-15, 2011 (Wednesday-Saturday):  San Antonio, Texas (Hilton, Marriott Rivercenter, Marriott Riverwalk, Grand Hyatt)

 

·         Room Rate - $169-179.

·         Hotel rates are for 2006.  Hotel rate may increase up to 4 percent per year.

 

January 11-14, 2012 (Wednesday-Saturday):  Indianapolis, Indiana (Marriott, Westin, Hyatt Regency)

                                  

  • Due to the NCAA’s agreement with the city of Indianapolis, a formal bid was not submitted by the city but room rates and support will be competitive with those of other cities selected for hosting the NCAA Convention.

 

January 16-19, 2013 (Wednesday-Saturday):  Grapevine, Texas (Gaylord Hotel - San Diego, California site will be substituted for Grapevine per the multi-year agreement)

 

·         Room rate – TBD pending official announcement of west coast property being developed (anticipated announcement Summer of 2006).

 

January 15-18, 2014 (Wednesday-Saturday):  Orlando, Florida (Rosen Shingle Creek Resort)

 

·         Room rate - $179 single/double.

·         Hotel rates are for 2006.  Hotel rate may increase up to 4 percent per year.

 

January 14-17, 2015 (Wednesday-Saturday):  Washington, D.C. (Gaylord National)

 

·         Room rate - $155 single/double.

·         Hotel rates are for 2005.  Hotel rate may increase up to 4 percent per year.

 

January 13-16, 2016 (Wednesday-Saturday):  San Antonio, Texas (Hilton, Marriott Rivercenter, Marriott Riverwalk, Grand Hyatt)

January 17-20, 2018 (Wednesday-Saturday):  Indianapolis, Indiana (Marriott, Westin, Hyatt Regency)
