TO: NCAA Division III Management Council.

FROM: Daniel T. Dutcher

Vice-President for Division III.

SUBJECT: 2004 NCAA Convention Registration Procedures.

This memorandum provides information concerning the 98th NCAA Convention, which will be held in Nashville, Tennessee, January 9-12, 2004. The headquarters hotel will be the Gaylord Opryland Nashville. Your meeting is scheduled to begin at 8 a.m. and adjourn not later than 5 p.m. Friday, January 9, 2004. If your term on the Management Council will be continuing after the Convention, there will be a post-Convention Management Council meeting from 3:30 to 5:30 p.m. Monday, January 12.

In an effort to make the registration process more convenient, our staff has developed an online Web page for you to register for the Convention and reserve your hotel room. This page can be accessed at the following Web address:

https://www.shortstravel.com/MeetingReg/NCAAConvention/Registration/index.cfm?Type=Division

PLEASE NOTE THAT YOU SHOULD REGISTER FOR THE CONVENTION AND RESERVE YOUR HOTEL ROOM ONLINE. You will not receive a separate room reservation form for the Convention.

Your travel to and from Nashville should be arranged through Short?s Travel (866/655-9215) and will be charged to the NCAA. Your hotel room and tax will be direct billed to the Association. In addition, you will receive a $75 per diem to cover incidentals and any meals not provided by the NCAA.

The Convention registration fee is $110 if completed by Monday, November 17, and $175 if completed after that date. In addition, Honors Dinner tickets need to be purchased separately online. The cost for the Honors Dinner is $40 if purchased by Monday, November 17, and $50 if purchased after this date. You again have the opportunity to purchase tickets to the Delegates Reception for any guests. These tickets will cost $15 each.

New this year, for those who register for the Convention online by November 17, a special VIP check-in process will be available when you arrive at the hotel. This VIP process will allow you to check-in to your hotel room and pick up your Convention registration materials at the same location, allowing you to bypass all lines. Your will receive details on the VIP process in early December.

We hope these new procedures will enhance your Convention experience. Please contact Janice Whitehead (jwhitehead@ncaa.org. or 317/917-6941) if you have any questions.
