III CONVENTION-PLANNING SUBCOMMITTEE
1. ACTION
ITEMS.
a. Draft
2005 NCAA Convention Schedule. [Attachment A]
(1) Recommendation. Review the draft Convention schedule
noting:
(a) Saturday,
January 8 – Opening Business session and keynote address should
immediately precede the Delegates Reception (
(b) Saturday
January 8 – Association-wide and divisional educational sessions (
(c) Saturday
January 8 – Endorse the joint Division III Management Council/Presidents
Council/Student-Athlete Advisory Committee luncheon (
(d) Sunday,
January 9 – Extend conference meetings from
(e) Sunday,
January 9 – Endorse the CEO luncheon and programming; however, note a
potential overlap with Division III conference meetings.
(f) Sunday,
January 9 – Eliminate delegates' boxed lunch immediately following the
Division III Issues Forum to save money ($20,000) and encourage conference
luncheons.
(g) Seek
an alternate time (Sunday, January 9, afternoon) for provisional member CEO and
athletics administrator sessions.
(h) Monday
January 10 – Start the Division III Business Session earlier (
(i) Recommend
a Division III Faculty Athletics Representatives Association preconference
session either Friday evening, January 7, or Saturday morning, January 8.
(2) Rationale. The subcommittee reviewed the
Association and divisional schedule options, noting its support for the
schedule that encourages continued opportunity for CEO involvement and
membership dialogue before voting.
(3) Budget
Impact. None.
b. Possible
Educational Topics – 2005 Convention.
(1) Recommendation. Review and provide input for
Association-wide and divisional menu sessions.
(a)
Division
III sessions:
l Retention
strategies for Division III coaches.
l Recruitment
strategies for hiring Division III coaches.
l Managing the
search process for Division III coaches and administrators.
l Campus and
conference compliance programs (include roundtable discussions).
l Dealing with
booster clubs.
(b) Association-wide
sessions:
l Educational
workshops (e.g.
how to implement successful fundraising and marketing initiatives).
l Title
IX/gender equity workshop.
l Violence in
sports.
l Sportsmanship
issues.
l Legal issues.
(2) Rationale. The subcommittee suggested several
topics to ensure that the Convention includes discussion sessions that bind the
Association; pertinent key professional development sessions; key
governance/committee issues; involvement of CEOs; conference meetings;
interaction; and student-athlete oriented issues.
(3) Budget
Impact. To be determined.
2. INFORMATIONAL
ITEMS.
a. 2004
Convention Questionnaire Results.
The subcommittee reviewed the results of the Convention questionnaire,
noting:
(1) Total
of 379 responses (CEO, seven percent; faculty athletics representative, 12
percent; director of athletics, 46 percent; other campus administrator, 23
percent; commissioner, four percent; other, seven percent). The total response rate is consistent from
378 in 2003; however, CEO attendance was a record at 108.
(2) Very
strong support for three-day (Saturday-Monday) format (92 percent).
(3) Very
strong support for Sunday morning issues forum (75 percent); Sunday afternoon
conference/independent meetings (73 percent); Monday morning roll call voting
(80 percent); and afternoon paddle voting (75 percent).
(4) Very
strong support for Association-wide educational sessions (88 percent) and
support for the NAD3AA session (42 percent).
(5) Future

for continued encouragement of overall interaction among all members.
(7) Concern
with attendance at Honors Dinner (58 percent). Consider length of program and format
adjustment. It was noted that the
Honors Dinner format is under review by NCAA Convention management specifically
for the 2006 event.

participation in new job fair (seven percent).
b. Committee
Composition. The
subcommittee welcomed new members and reviewed its newly constituted
composition including increased at-large, affiliate group representation and
the establishment of term limits. [Attachment B]
c. 2005
Convention Timetable. The subcommittee reviewed its planning timetable:
April Preliminary
Division III schedule and programs/session topics forwarded to Management
Council and Presidents Council.
June Subcommittee
conference call to develop programs/session topics and review schedule.

reviewed and approved by Management and Presidents Councils.

October Subcommittee

recommendations; discuss involvement and communication with affiliated groups
